How do I schedule classes in GYMSNA?

Go to the Calendar tab. Create a one-off class directly, or create a class template and schedule it as a recurring series that repeats weekly, bi-weekly or monthly - either indefinitely or for a set number of weeks. A template stores the class name, description, duration, class size and credits required, so you never retype them.

Templates versus one-off classes

A class template stores a class's details once: name, description, duration, class size and credits required. You then schedule that template as often as you like. Editing a template lets you apply the change to future scheduled classes too, which is the fastest way to fix a duration or capacity across a whole series.

A one-off class is created directly on the calendar and suits workshops, one-time events and cover sessions.

Recurring series

Schedule a template as a repeating series - weekly, bi-weekly or monthly. A series can run indefinitely or stop after a set number of weeks. Changes to a series can be applied forwards to the classes it has already generated.

Deleting a series: use the delete-all-future option rather than removing classes one by one. Deleting individual occurrences leaves the series itself running, and it will generate them again.

Capacity and credit cost

Each class has a class size and a credit cost. The credit cost is what a member spends to book, usually 1. Both live on the template, so setting them once covers every future occurrence.

When a class fills, members see a Join Waitlist button rather than a dead "class full" message, and the calendar shows you a live waitlist count. See waitlists.

Trainers

Add your team in the Trainers tab, then assign one or more trainers to any class or recurring series. The calendar can be filtered by trainer, and per-trainer performance appears in Reports. See trainers.

Cancellation windows and booking cutoffs

Both live in Settings → Cancellation Policy and both can be overridden per class type.

Managing a class on the day

Required forms

If you build a waiver or intake form in the Forms tab and mark it required, members must complete it before their first booking is allowed. See forms and waivers.
